RFPRound

Terms Of Service

RFPRound is a sole proprietorship based in Virginia, USA. By creating an account you agree to these terms.

The Service

RFPRound provides alerts and tracking for federal contract opportunities published on SAM.gov and for state contract opportunities published on the official procurement portals of the states and the District of Columbia listed as covered in the State Portals directory. Opportunity data is provided by the U.S. government and the respective state and District governments, and remains subject to the official listing, which controls in the event of any difference. RFPRound works to keep its catalog current but does not guarantee that any listing, deadline, or amendment is complete or current at the moment you view it; verify every deadline on the official listing before relying on it.

Who Operates The Service

RFPRound is a sole proprietorship based in Virginia, USA ("RFPRound", "we"). Questions about these terms: [email protected].

Accuracy

Opportunity data comes from SAM.gov and the covered official state procurement portals, and is refreshed daily, but deadlines, documents and requirements can change at the source. The official listing controls in every case. Verify all details there before bidding, and do not rely solely on RFPRound alerts for any deadline. If you spot an error in a listing we show, email [email protected] and we will correct it.

Accounts And Seats

The registering user is the account's Primary user and owner. Seat counts follow the plan you choose. You are responsible for activity under your account.

Free Period And Deletion

Accounts without a paid plan receive alerts for 14 days, then have 14 further days to select a plan. Never-paid accounts are deleted on day 29.

Payments And Refunds

Paid plans cancelled within 14 days of signup are refunded in full. After day 14, cancellation takes effect at the end of the current billing period.

Acceptable Use

Do not use the service to violate any law, to harvest the catalog for resale, or to interfere with the service's operation.

Seat Add-Ons

Pro and Team plans may add seats at $19.99 per month or $199.99 per year for each added seat. Added seats are charged on a prorated basis for the current period. A seat you remove stops renewing at the end of the current billing period - removals are deferred, not immediate, so nobody loses access mid-period.

Cancellation, Resume And Deferred Closure

Cancelling a paid plan after the 14-day refund window schedules closure at the end of the current billing period; your account, pursuits and records stay available until then. You can resume the plan from Account & Billing at any time before that period ends and the scheduled closure is withdrawn. Cancelling inside the 14-day refund window refunds the subscription in full and closes the account.

Team Assurance

The Team plan includes Team Assurance: a bundle generated from your own pipeline, audit trail and deadline records, for your internal review and board reporting. It is a record of your activity in RFPRound, not insurance, not a guarantee that any bid will be awarded, and not a substitute for verifying a solicitation on SAM.gov.

Your Records After Closure

Closing an account does not delete its records right away. We retain the organization's pursuit records — saved opportunities, qualification decisions, workflow history, and the audit trail — for at least 7 years after closure, so your organization can meet its own record-retention duties. While an account is open, the Primary user can export the organization's complete data from Export & Transfer (a single JSON file covering the company profile, the pipeline, and every pursuit record), and a printable packet for any single pursuit can be exported directly from its record page. During the retention period after closure you can request a full export of your organization's data at any time by emailing [email protected], and we will provide it in standard formats (HTML/CSV/JSON). After the retention period, records are deleted except billing records we must keep for tax law, which are kept for at least 7 years where tax law requires it.

Transfer Of Ownership

The account owner may transfer ownership of the organization to another Primary user of the same organization. All of the organization's data — the pipeline, records, and history — moves with the transfer, and the former owner stays on as a Primary user. Billing does not move: the subscription stays with the original billing customer until the new owner updates it. The transfer is recorded in the organization's audit trail, and the former owner, the new owner, and the organization's other Primary users are notified by email.

If The Service Shuts Down

If we discontinue RFPRound, we will give at least 90 days' email notice and keep data export available for the whole notice period. Any amount you prepaid for time after the shutdown date is refunded pro-rata.

Liability

To the maximum extent allowed by law, RFPRound's liability is limited to the amounts you paid for the service in the 12 months before the claim arose. RFPRound is a discovery and tracking tool; decisions to bid, and bid outcomes, are yours.
